Access rights for Opportunity Management

This article summarizes who can do what in Opportunity Management. Use it as a quick reference when configuring roles or troubleshooting permissions.

Roles and what they can do in Opportunity Management

Team Coach, Unit Coach, HR ManagerCreate an Opportunity. The creator automatically becomes an Opportunity Owner.
Opportunity Owner (function, not a role)View the Opportunities they own. Update or delete the Opportunities they own. Assign other Opportunity Owners (add or remove). Review applications (accept, reject). There is always at least one Opportunity Owner per Opportunity.
HR ManagerView and edit all Opportunities across the organization. Access the Internal Mobility Report.
EmployeeView open Opportunities. Apply to an Opportunity.

Things to know

Opportunity Ownership.

  • An Opportunity always has at least one Owner.
  • The creator of an Opportunity becomes the first Owner by default.
  • Owners can add or remove other Owners, as long as one Owner remains.
  • Being an Opportunity Owner is a function, not a separate user role. Any Team Coach, Unit Coach, or HR Manager can take on that function.

Visibility for Employees.

  • Employees see Opportunities in the Open status on the Opportunity board.
  • Opportunities in Filled or Closed status appear in the overview, but the details are not accessible.
  • Opportunities in Draft status are not visible to Employees.

Limits.

  • An Opportunity Owner cannot apply to their own Opportunity.
  • Owners see the public profile of every matching candidate, not private information.
  • Coaches scoped to a single Team can only create Opportunities for that Team. Coaches scoped to a Unit can create Opportunities for the entire Unit. HR Managers can create Opportunities for any Team, Unit, or for the whole company.
